Everything Prospect Park Property Limited does with personal data is set out below. If something here is unclear, ask us — we would rather explain it than have you guess.
About us
We are Prospect Park Property Limited, registered in England and Wales with company number 08789857 at Stanstead Hall, Greenstead Green, Halstead, CO9 1QJ. If you want to talk to someone about data protection, [email protected] reaches us.
Categories of data
- Identity and contact data — what you tell us so we can reply: name, organisation, email address, telephone number.
- Communications data — the emails, letters and call notes that make up our dealings with you.
- Technical data — server logs recorded by our host as a by-product of serving the page.
We operate no accounts, process no payments here, and do not knowingly gather special category data.
Our lawful bases
| Purpose | Lawful basis |
|---|---|
| Dealing with your enquiry and any follow-up | Our legitimate interest in responding to people who approach us |
| Agreeing and carrying out a contract with you | Necessary for a contract, or for steps taken at your request beforehand |
| Maintaining business and project records | Our legitimate interest in running the company and defending claims |
| Meeting obligations under the Companies Act and tax law | Legal obligation |
| Any optional analytics we later add | Your consent, which you may withdraw whenever you wish |
Sharing
Your data is not sold, rented or shared for anyone else's marketing. Where our accountants, solicitors, web host or email provider need it to do their job for us, they receive it under contract and may use it only for that purpose. Legal obligations aside, that is the complete list.
Storage and retention
We keep data within the UK or the EEA. If a supplier processes it outside those areas, we use the transfer safeguards UK data protection law allows.
Retention: unsuccessful enquiries, two years; contract and transaction files, twelve years from completion, which matches the limitation period for deeds; accounting records, at least six years as the Companies Act 2006 requires; web server logs, a short period set by our host.
What you can ask us to do
You can ask what we hold and for a copy of it, have inaccurate data corrected, and in certain circumstances have it deleted, have our use of it restricted, object to that use, or have it ported elsewhere. Consent, where we rely on it, can be withdrawn at any point without affecting earlier processing.
Email [email protected] and we will respond within one month. We do not charge unless a request is manifestly unfounded or excessive.
If you are unhappy
Tell us — most problems are quicker to fix directly. You are also entitled to complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk/make-a-complaint or by telephone on 0303 123 1113.
